Role Overview​

The Treasurer at East Grinstead Athletics Club (EGAC) is responsible for managing the club’s financial resources, ensuring it can meet day-to-day expenses and plan for future growth. This vital role oversees income, expenditure, assets, and liabilities, while supporting EGAC’s modernization efforts and strategic goal of increasing membership to 230–250. The Treasurer collaborates with the committee to create budgets, plan fundraising, and ensure financial stability for the club’s operations and development.

Key Responsibilities​

  • Manage the club’s income and expenditure, ensuring accurate tracking of assets and liabilities.
  • Maintain bank account(s) in EGAC’s name, adhering to the financial mandate ratified by the committee.
  • Produce an end-of-year financial report for presentation at the Annual General Meeting (AGM).
  • Identify a suitable individual to independently review the annual accounts, ensuring transparency.
  • Provide regular financial updates to the club committee, highlighting income, expenses, and any shortfalls.
  • Report to relevant bodies (e.g., England Athletics or regulatory authorities) based on EGAC’s legal structure.
  • Ensure timely payment of invoices and bills to maintain smooth club operations.
  • Propose adjustments to annual and weekly subscriptions to align with financial needs.
  • Deposit cash and cheques received by the club in a timely manner.
  • Maintain up-to-date and accurate financial records, using spreadsheets or accounting tools.
  • Arrange handover or succession planning to ensure continuity of the role.
  • Declare and manage personal conflicts of interest in accordance with club policies.
  • Collaborate with the Membership Secretary to reconcile membership payments, discounts, and refunds.
  • Support fundraising initiatives to address income shortfalls and fund club development projects.
  • Contribute to the Club Development Plan by projecting membership and income for future years.

Skills and Attributes​

  • Strong financial management skills and attention to detail for accurate record-keeping.
  • Familiarity with or willingness to learn basic accounting tools (e.g., spreadsheets, online banking systems).
  • Good communication skills for reporting to the committee and collaborating with other officers.
  • Basic understanding of legal and regulatory financial responsibilities (training provided if needed).
  • Ability to work collaboratively in a volunteer-based environment, supporting EGAC’s modernization goals.
  • Enthusiasm for contributing to the club’s financial stability and growth objectives.

Time Commitment​

  • Approximately 2–4 hours per week, with additional time during peak periods (e.g., end-of-year reporting, membership renewals in March–April).
  • Most tasks can be managed remotely, with occasional in-person attendance at committee meetings or the AGM.
  • Flexible hours, with increased demand during budgeting, fundraising, or financial reporting periods.

Collaboration​

  • Works closely with the Membership Secretary to reconcile membership payments and track income.
  • Collaborates with the Club Secretary and Chair to align financial planning with club goals.
  • Engages with the committee to report on financial matters and propose subscription changes.
  • Liaises with external bodies (e.g., banks, England Athletics) for account management and compliance.

Tools and Resources​

  • Banking systems: For managing EGAC’s bank account(s) and processing payments.
  • Spreadsheets or accounting software: For tracking income, expenditure, and financial records.
  • Email templates: Standardized communications for financial updates or payment-related correspondence.
  • myAthletics portal: For accessing financial or affiliation-related resources from England Athletics.
  • Access to training on financial management or England Athletics systems provided by EGAC or external partners.

  • The Treasurer plays a critical role in supporting EGAC’s modernization by ensuring financial transparency and stability.
  • The role supports the club’s ambition to grow membership and fund development projects, such as new facilities or expanded coaching.
