WhatsApp Overview​

The Club uses WhatsApp in order to communicate rapidly with athletes, parents, coaches etc. Through the use of WhatsApp communities, the Club aims to provide clear channels of communication between everyone in the club.

Communities​

The Club has three communities to support it. These are;

  1. EGAC Committee
  2. EGAC Coaching Community
  3. East Grinstead Athletics Club Community

Access to each of these is controlled and managed to ensure that information and data that is relevant is shared correctly. No club member under 18 may join the WhatsApp communities as part of our safeguarding process.

EGAC Committee​

This community is for committee members only. It contains a number of channels to assist with communication.

  1. General Committee Discussion The General Committee Discussion is an open channel between Committee members to discuss club details.
  2. New Members Discussion This channel is no longer used.
  3. Welfare This channel is only for welfare issues to be discussed by Club Welfare Officers. If other Committee members are required to share information, they will be added or removed as required.

EGAC Coaching Community​

This community is for coaching members only. It contains a number of channels to assist with communication.

  1. Coaching Availability This is a channel used to inform of coaches availability, generally through a monthly poll.
  2. EGAC Academy Coaches This is a channel used for coaching discussions about the Club Academy.
  3. EGAC Coaches This is an open channel between coaches to discuss general coaching details.
  4. Medical Alert Athletes Any athlete with a medical condition that coaches MUST be aware of will be poated here to provide quick and easy access. Only the Membership Secretary is able to post to this channel.

East Grinstead Athletics Club Community​

This is a community set up for communicating with all club members via athletes or parents. All new members will be added to the Community, athletes and parents are then welcome to choose which channels they wish to be involved in so that they can change channels as their child moves through the club.

  1. Y4 & Y5 Summer Academy
  2. EGAC U13 Y6 & Y7 Team Chat
  3. EGAC U15 Y8 and Y9
  4. EGAC U17 and above
  5. Lost Property
  6. Sprint Group This is a private invitation only group for Phil Rogers and his sprint group.
  7. Long Jump This is a private invitation only group for Phil Rogers and his long jump group.

Announcements​

Announcements will be made as required by WhatsApp admins. These are to be used for sharing urgent information, such as cancelled sessions.

Joining​

New members / parents / carers are added to the community as part of the joining process. It is then the responsibility of that person to join the groups they are most interested in.

Safeguarding​

No-one under the age of 18 is permitted to be a member of any EGAC Community.
